Job Summary

We are seeking an experienced Human Resources Generalist for a 12–15 month contract. Reporting to the Senior Director of Human Resources and working closely with the Vice President of Finance, the HR Generalist will support a variety of human resources functions, including full-cycle recruitment, onboarding, employee lifecycle management, payroll administration, benefits administration, and HR projects.

This is a hands-on role requiring strong knowledge of payroll, benefits, recruitment, onboarding, employment legislation, and HR best practices. The successful candidate will work collaboratively with the HR team and business leaders across regions to support an effective employee experience.

Responsibilities

Recruitment

  • Assist with preparing job postings, pre-screening candidates, maintaining candidate databases, and coordinating received resumes.
  • Manage the end-to-end recruitment and selection process, including assessing hiring needs, determining recruitment strategies, interviewing candidates, conducting reference checks, extending offers, and coordinating new hire administration.
  • Develop strong relationships with hiring managers to understand business needs, team culture, and position requirements.
  • Lead post-interview debrief sessions with interview teams.
  • Create and maintain candidate pipelines through social networks, job boards, educational institutions, recruitment agencies, conferences, job fairs, hackathons, and career events.
  • Promote Haivision as an employer of choice by increasing company visibility and strengthening employer branding.
  • Use recruitment data and metrics to analyze performance indicators such as time-to-fill, recruitment sources, trends, and challenges.
  • Stay current with innovative recruitment practices and employment legislation.
  • Ensure a positive candidate experience throughout the recruitment process.
  • Partner with HR team members to create an effective end-to-end employee experience.

Onboarding and Offboarding

  • Conduct background checks and prepare orientation packages for new hires.
  • Schedule, coordinate, and deliver new employee orientations, including contractual documents and government forms.
  • Monitor employee probation periods and follow up with supervisors as required.
  • Coordinate employee departures, including departure documentation and exit interviews.

Payroll Administration

  • Process semi-monthly Canadian (Quebec) payroll using ADP Workforce Now.
  • Provide support for monthly payroll processing for Germany and Spain.
  • Ensure payroll compliance by maintaining proper system configurations aligned with provincial, state, and federal legislation.
  • Perform retroactive pay and benefits calculations, bonuses, and other compensation adjustments.
  • Manage off-cycle payrolls, terminations, pro-rated payments, Records of Employment (ROEs), and government inquiries.
  • Complete year-end payroll processes, including preparation and distribution of T4s, T4As, RL-1, T2200, W-2s, and other required tax documents.
  • Create customized payroll reports for HR and Finance teams.
  • Maintain accurate payroll documentation and records for audits and compliance requirements.
  • Stay current with payroll legislation changes to ensure ongoing compliance.
  • Support financial audits requiring payroll information.
  • Liaise with external agencies including CRA and Service Canada.
  • Process employee expenses each pay period.
  • Investigate and resolve escalated payroll issues and discrepancies.
  • Monitor vacation requests and employee vacation balances.

Benefits Administration

  • Act as the subject matter expert for Canadian group benefits, retirement plans, employee assistance programs, and related benefit programs.
  • Manage benefits enrollment, onboarding, offboarding, coverage changes, salary modifications, and terminations.
  • Serve as the primary contact for employee benefit inquiries and collaborate with insurance providers and brokers to resolve issues.
  • Participate in annual benefits renewal reviews and communicate changes to employees.
  • Review monthly insurance provider invoices for accuracy and coordinate payment processing.
  • Support employees with benefit-related questions and coverage requests.

Training and Organizational Development

  • Monitor performance management programs and HR calendars.
  • Coordinate training activities and research relevant development opportunities.
  • Maintain employee training records and documentation.
  • Support Quality Management System (QMS) standards and assist with audits as required.
  • Collect and manage training documentation related to Bill 90 requirements.

Employee Communications

  • Communicate employee updates regarding holidays, policies, programs, and employment-related information.
  • Assist in creating newsletters, publications, and internal communications.
  • Maintain employee data and statistics.
  • Provide guidance and support to employees and managers as required.

Policy Maintenance and Compliance

  • Maintain updates to the Haivision Employee Handbook and HR policies.
  • Provide guidance regarding company policies, procedures, and employee programs.
  • Remain current on HR practices and employment legislation.
  • Maintain knowledge of health and safety employment legislation.
  • Promote HR policies related to the Haivision Quality Management System.
  • Update HR-related Quality Management System documentation as required.

Other HR Responsibilities

  • Assist with HR-related legal files, including cross-border visa applications.
  • Support HR projects such as implementation of new tools and HR procedure documentation.
  • Maintain physical and electronic employee personnel files according to legal and company requirements.
  • Prepare Employee Status Change Forms and maintain employee compensation databases.

Skills and Qualifications

  • Bachelor’s degree specializing in Human Resources Management or a related field.
  • Minimum of five years of experience in a Human Resources Generalist role or similar position.
  • Expertise in full-cycle recruitment, including sourcing, qualification, networking, interviewing, legal considerations, job analysis, compensation trends, and relationship management.
  • 5+ years of progressive Canadian (Quebec) in-house payroll experience supporting both salaried and hourly employees.
  • Strong knowledge of group health benefits plans and applicable regulations across Canada and the United States.
  • Excellent project management, interpersonal, and communication skills.
  • Strong initiative, sound judgment, and problem-solving abilities.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.
  • Strong written and verbal communication skills in both English and French.
  • CRHA membership is considered an asset.
  • Strong attention to detail with a commitment to accuracy and quality.
  • Advanced administrative skills with proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Knowledge of ADP and SharePoint is considered an asset.
  • Ability to maintain employee and client confidentiality.
  • Willingness to learn and grow within the role.
